Refunds and cancellations
Losing holds are released, captured money is refunded when required, and paid placements receive a day-for-day or pro-rata downtime remedy.

1. Losing holds are released
Stripe authorizes a hold for the full bid amount when a bid is placed. Brand My Van does not charge or capture that amount at bid time. Outbid holds remain reserved until all 18 auction spaces are conclusively finalized, while rejected or validly withdrawn bids are released immediately. After final reconciliation, every remaining uncaptured losing hold is released. A released hold is not a refund because no money was captured; the card issuer controls when the reservation disappears from the account.
2. Winner payment
At close, Brand My Van attempts to capture the exact full amount authorized by the highest approved bid for each space. A bidder becomes the winner only after that capture succeeds. The amount is the total price for 90 days and includes standard printing and installation. No more than one bidder may be captured for a space. If captured money is duplicated, exceeds the confirmed bid amount, or is collected from a bidder who did not win because of a processing error, Brand My Van will initiate a full correction or refund promptly after verification.
If capture fails, the intended winner enters manual payment recovery. Brand My Van does not automatically charge a fallback bidder. The intended winner may be asked to authenticate, retry, or replace an expiring authorization before its card-network deadline. A fallback can be charged only after the intended bid is expressly forfeited and Brand My Van expressly approves that specific fallback and exact amount. A failed fallback returns to manual recovery and never advances again automatically.
3. Bid changes and withdrawal
Contact Brand My Van as soon as possible if a bid contains a material entry error or was unauthorized. Before auction close, a bid may be withdrawn when the request can be authenticated and withdrawal does not facilitate manipulation or collusion. An accepted withdrawal triggers immediate release of its uncaptured authorization. After close, the intended winning bidder remains responsible for the accepted bid unless Brand My Van agrees to cancel it, declares it forfeited after payment recovery, or applicable law requires cancellation.
4. Cancellation before printing
A winning advertiser may cancel for a full refund before approving the final production proof in writing, provided production has not already been expressly authorized. If Brand My Van rejects the advertiser or creative and no compliant replacement is accepted, any winner payment collected is refunded in full.
5. Cancellation after production approval
Once the advertiser approves the final proof and production begins, cancellation is refundable less documented, nonrecoverable third-party printing or installation costs already committed for that placement. Brand My Van does not add a penalty or undisclosed cancellation fee. After installation, elapsed campaign days are not refundable for advertiser-requested cancellation, subject to applicable law and the downtime remedy below.
If removal is required because the advertiser or creative violates the Creative Policy or the advertiser’s representations, refund eligibility depends on the unused term, avoidable costs, the seriousness of the violation, and applicable law. Brand My Van will provide a written calculation.
6. Brand My Van cannot fulfill
If Brand My Van cannot install by the outside date agreed in the winner confirmation for reasons not caused by the advertiser, the advertiser may choose a mutually agreed later installation date or cancel for a full refund. The 90-day term never begins before documented installation.
If Brand My Van permanently stops operating the vehicle or removes the placement before day 90 for reasons not caused by the advertiser, the advertiser receives a pro-rata refund for each full undelivered day, calculated as the winning price divided by 90. If no installation occurred, the refund is full.
7. Vehicle downtime and damaged placements
If collision, repair, vehicle unavailability, or damage prevents the paid placement from being displayed for a full calendar day, the campaign is extended by one day for each full unavailable day. If extension is not reasonably possible, Brand My Van provides a pro-rata refund based on the winning price divided by 90 for each full unavailable day.
Ordinary overnight parking, routine stops, and normal personal use are not downtime. Brand My Van will repair or replace a placement damaged through ordinary vehicle use when reasonably practical, at no additional charge to the advertiser.
8. How refunds are issued
Approved refunds are returned to the original payment method unless the advertiser affirmatively agrees to another lawful method. Brand My Van initiates approved refunds promptly; banks and card networks control when funds appear. Refund status and any documented deduction will be provided to the advertiser. Store credit is never substituted without affirmative agreement.
9. Requesting help
Include the space ID, bid or payment confirmation, advertiser name, reason for the request, and the best way to respond. Before opening a card dispute, contact Brand My Van so the issue can be investigated and documented promptly.
